Your Privacy on Studia

This notice is for you — the students who use Studia. We have written it in plain language so you can understand what happens with your information when you use our platform.

If you are under 10, we suggest reading this with your parent or guardian so they can help explain anything you are not sure about.

Who are we?

Studia is an online learning platform where you can watch live lessons and have one-to-one tutoring sessions. During live lessons, AI tools can help you check your answers and give you hints.

We are run by a company called Sophos Education Ltd, based in London. When we say “we” or “us” in this notice, we mean Studia.

What information do we collect about you?

When you use Studia, we collect some information about you. Here is what we collect and why:

Information you or your parent gives us:

  • Your name and date of birth— so we know who you are and your age group
  • Your school year, subjects, and exam boards— so we can match you with the right lessons and tutors
  • Messages you send in livestream chats— so tutors and the AI tools can help you learn
  • If you choose to tell us about any special educational needs — so we can support you better (this is completely optional)

Information we collect automatically:

  • What you do on the platform— like which lessons you watch, how long you spend on Studia, and which features you use
  • Basic information about your device— like what type of phone or computer you are using and your web browser
  • Your IP address— this is a number that helps us understand roughly where you are connecting from

Cookies:

We also use cookies — small files stored on your device that help the platform work and remember your preferences. You can find out more in our Cookie Notice.

Why do we collect your information?

We collect your information for these reasons:

  • To give you lessons and tutoring— this is the main reason. We need your information to run the platform.
  • To keep you safe— we monitor lessons and chats to make sure everyone is treated well and no one is being harmed.
  • To make Studia better— we look at how people use the platform (without identifying you personally) so we can improve it.
  • To follow the law— there are rules we have to follow about keeping children safe online.

We never use your information to:

  • Show you adverts
  • Sell your information to anyone

Why are we allowed to use your information?

Privacy law means we need a proper reason — called a “legal basis” — for using your information. Here are the reasons we use:

  • To provide our service to you— when your parent signed up, they entered into a contract with us. We need to use your information to fulfil that contract and give you access to lessons and tutoring.
  • Because we have a legitimate interest— for things like making Studia work better and keeping it secure. We always make sure this is balanced fairly against your privacy.
  • Because we have your permission— for optional things, like using your information for research purposes. You or your parent can withdraw this permission at any time.
  • To follow the law— sometimes we are legally required to use or share your information, for example to comply with safeguarding rules.

Are my lessons recorded?

Yes. Here is how it works:

Why do we record everything?Because our platform is used by young people, and recording helps us keep everyone safe. You cannot turn off recording — it is there to protect you.

Transcripts and summaries: After your livestream lessons, we create written summaries and notes using AI. You and your parent can see these to help with your learning.

How does the AI work?

Studia uses AI (artificial intelligence) in a few ways:

  • Live lesson support— during livestreams, the AI can check your answers, give you hints, and answer questions based on your tutor's teaching materials.
  • Safety monitoring— AI helps us spot harmful content in chats, like bullying or someone trying to share personal information.
  • Lesson summaries— AI creates written notes from your livestream lessons.

Important things to know about the AI:

  • The AI is trained using your tutor's teaching materials — not your personal information.
  • Your questions during live lessons are used to give you a response and can help the AI learn better, so are used for training purposes.

Who sees my information?

Only the people who need to see your information can access it:

  • Your tutorssee what they need to teach you — your name, school year, subjects, and what you send in lessons.
  • Your parent or guardian can see your activity, lesson history, and recordings through their dashboard.
  • Our Safety Team can look at recordings and messages if there is a safety concern.
  • Our technology partnershelp us run the platform — for example, one company handles video calls and another handles payments. They only see what they need to do their job, and they must keep your information safe.

What about transfers outside the UK?

Some of our technology partners are based outside the UK. When we share your information with them, we make sure there are proper rules and safeguards in place to keep your data protected — just as if it had stayed in the UK. We will always tell your parent which countries are involved if they ask.

What are cookies?

Cookies are small files that are stored on your device when you visit a website or use an app. They help the platform remember things — like that you are logged in — and help us understand how people use Studia so we can make it better.

We use cookies for things like:

  • Keeping you logged in to your account
  • Remembering your preferences
  • Understanding which parts of the platform are most useful

You can find out exactly which cookies we use and how to manage them in our Cookie Notice. Your parent can also manage cookie settings through your account settings.

What are my rights?

You have rights over your information. You can:

Your parent or guardian can help you with any of these. Just email [email protected] and we will respond within one month.

How can my parent or guardian help?

Your parent or guardian has a dashboard where they can:

  • See your lesson history and which tutors you subscribe to
  • Watch livestream recordings
  • Read lesson summaries from livestream lessons
  • Manage your subscriptions
  • Change your privacy settings, including AI personalisation
  • Report any concerns about your safety
  • Ask for your information to be exported or deleted
  • Close your account if they want to

Parents can also: ask us to stop collecting further information from you, request to review all the information we hold about you, or ask us to delete it. They can contact us at [email protected] to do any of these things.

What if something does not feel right?

If anything on Studia makes you feel uncomfortable, worried, or unsafe, please tell someone. You will not get in trouble for reporting something.

We take every report seriously. If something is urgent, our Safety Team will look at it within 1 hour. For other concerns, we respond within 24 hours.

You do not need proof to report something. If it does not feel right, that is enough.

How do we keep your information safe?

We protect your information by:

  • Encrypting it— your data is scrambled so that only the right people can read it.
  • Controlling access— only the people who need to see your information can get to it.
  • Checking regularly— we review our security to make sure it is working properly.
  • Choosing trusted partners— when we share your information with companies that help us run the platform, we check they have strong security too.

Will my information be used for research?

Sometimes, we may use information about how students use Studia to help with educational research — for example, to understand how young people learn online. If we do this, we always:

  • Make your information anonymous first, so it cannot be linked back to you
  • Never share anything that could identify you personally
  • Ask for your parent's permission first if the research requires anything more than anonymised data

If you or your parent do not want your information used for research purposes, you can say no at any time by contacting [email protected].

Will this notice change?

We might update this notice from time to time — for example, if we add new features or if the law changes. If we make important changes to how we use your information, we will let you and your parent know by email and by posting the changes on the platform.
